Unlock Notion's Potential for Assisted Living Investing Success

Running an assisted living business can be incredibly rewarding, but it’s also complex. You’re juggling staff schedules, resident needs, financial planning, and marketing—all while staying compliant with state regulations. Sound overwhelming? That’s where Notion comes in.

Notion is a flexible app that can help you organize your business, track goals, and simplify your operations. Let’s explore how you can use it to make your assisted living journey more productive and less stressful.

Check out the video, too;

  1. What Is Notion?

Notion is a powerful tool for organizing tasks, managing projects, and keeping track of important information. Think of it as your digital “second brain.” You can use it to:

    • Create to-do lists.
    • Manage your facility’s daily operations.
    • Track progress on big goals.
    • Collaborate with your team.

It’s like having a customized control center for your entire assisted living business!

Why Use Notion for Assisted Living?

Running an assisted living facility means wearing many hats—operator, manager, planner, and more. Here’s why Notion is perfect for this:

    1. Customizable Task Management
Unlike rigid tools like Trello, Notion lets you build workflows that fit your style. Need a daily checklist? Done. Want to track monthly goals? Easy.

    2. One-Stop Information Hub
Use Notion as a searchable library for compliance guidelines, care procedures, and staff training materials. No more digging through files!

    3. Collaboration Made Simple
Share Notion pages with team members. They can view or edit schedules, resident profiles, or other important information.

    4. Track Habits and Goals
Notion isn’t just for work. You can track personal goals or build a vision board to stay inspired.

How to Use Notion in Your Business

Here are some practical ways to get started with Notion:

    1. Master To-Do List

Create a central list for everything on your plate—resident care, financial tasks, marketing, and more. Rearrange priorities with a simple drag-and-drop feature.

    2. Weekly Meetings

Use Notion to prepare for weekly staff or personal reflection meetings. Keep track of what’s working, what needs improvement, and action items for the week ahead.

    3. Resident and Staff Management

Build a database to organize resident profiles, track care plans, and schedule staff shifts. You’ll have everything you need in one place.

    4. Marketing Content Planner

Planning to grow your facility’s visibility? Use Notion to organize YouTube scripts, Instagram posts, and Facebook updates.

    5. Goal Setting and Vision Board

Create a digital vision board to visualize your business and life goals. Check it daily to stay motivated!

    Why Notion Stands Out

Notion’s strength lies in its flexibility:

    • Customization: Add colors, icons, and images to make your workspace inspiring.
    • Linked Databases: Connect resident profiles to caregiver schedules or expense trackers.
    • Templates: Start with pre-made templates to save time and spark ideas.

Unlike apps with a fixed structure, Notion adapts to your needs, making it the perfect tool for assisted living professionals.

    Getting Started with Notion

Ready to dive in? Here’s how to start:

    1. Create an Account: Notion is free for individual use. Sign up and explore!
    2. Build Your First Page: Start with a simple to-do list or a resident database.
    3. Explore Templates: Notion offers templates for everything from task management to content planning.

    Final Thoughts

Notion isn’t just another app—it’s a game-changer for anyone managing an assisted living business. By organizing your tasks, tracking goals, and streamlining operations, you’ll save time and reduce stress.

Start small. Build a to-do list or try a pre-made template. As you get comfortable, you’ll see how Notion can transform your workflow—and your business.

Take control of your time and focus on what matters most: providing excellent care for your residents and growing your assisted living empire.

so you probably looked at a lot of web applications to help you organize your life and you've even probably heard of notion uh but what is notion and what's a real life example of how to use notion to help you plan your life and manage your business we'll get into that in today's video [Music] hi everybody i'm brandon gustafson i own and operate two assisted living facilities and i created this channel to help people just like you learn the ins and outs of investing in assisted living

00:00:34
welcome to assisted living investing in our last video we went i did something brand new i did a plan with me video on how to do bullet journaling specifically matrix planning and how we do that make sure you go and watch that video and give me feedback on the process and how it might be able to help you out i'd love to hear from you on that in today's video we're going to get into what is notion so i talked about this in a previous video i'll link that up above on how i organize my life and one of the tools

00:01:03
that i use in addition to bullet journaling is notion notion is a web-based application and it gives just a ton of flexibility to create what you need to meet your needs um you can do all kinds of things with notion uh you can do note-taking task management project management uh create like a knowledge management like a wiki type of a page for a business or even just like a personal knowledge management database think like your second brain they i've heard a lot of people refer to notion as a second brain and it's just

00:01:37
allowing you to put all the information that you've got in your head and just throw it into a spot so you can have it it's searchable um you can find it if you need it but it just frees up a lot of space and a lot of um thought process uh and just the ability to kind of do things with your brain and so it's great for for those types of things to just get it out of your head put it somewhere so that you know it's down and then you can refer to it later as needed some of the features that

00:02:04
you'll find as you get into notion are you can very easily create things like bullet point lists to-do lists you can insert images and make it look kind of cool you can create tables and databases even linked databases you can do you can create different types of pages and use hyperlinks and things like that there's just a ton of things that you can use notion for it's just very dynamic extremely flexible and allowing you to create a tool that is going to work for you that you can use as a second brain or to

00:02:38
create to-do lists or or different types of things like that um you can also share your work on there so you can set it to be a share only type of a thing so if it was if it were a blog for example you could create a blog on notion and put that information out there and kind of share it broadly or i actually use it for virtual assistants that i work with and i'll put information in there a notion and i make it so that they can go in there and they can edit things or i put it out there as like wiki pages so that they can go and

00:03:09
refer to it and those types of things so it is extremely flexible in how you can also share that information with people there's just a lot of uses for notion this just it's it's extremely helpful i i love working in notion um the other thing that's really cool is you can do a lot of things to customize um the look and feel of of your notion pages so you can drag blocks of text into different areas you can make it look different you can put pictures in there you can put little like icons like meme

00:03:44
icon type of a thing you can change colors of text or highlights or different things like that there's again a lot of ways that you can customize your your notion page to make it look and feel exactly how you want it to be and it doesn't have to match somebody else's it's not a set thing like some of the other tools that i've used like asana or trello or monday like some of those different types of things that help you do task management and they're really really good at it and i highly recommend using

00:04:16
those um but you can't really customize those nearly as much as you can with notion um and for me i love the flexibility to create something that that looks the way that i want it to look and acts the way that i want it to act um and so i really really appreciate that you probably got this from my video on matrix planning that i actually don't really use a future log in the traditional sense that you would see if you were to to look at the bullet journaling method which i talked about in an overview of that book

00:04:47
right there basically the way that i do bullet journaling is i have a journal where i write down my personal and professional goals in the morning and in the evening and then in that i have my matrix planning session um section and so i don't really have a spot for a traditional future log like we've talked about in the past so what i do is i create my master to-do list my future log in notion and then i use that to kind of plan out my matrix planning sessions i have created a way in a notion to dynamically

00:05:20
you know if it's an am or a pm task or an evening task the day of the week and it helps me kind of prioritize those things and then i can very easily drag and drop things or adjust the due date and it and it makes it really easy for me when i go and do my matrix planning i have this future log that already has a ton of stuff in there and i just have to write it down and it's fresh in my mind for the next day and it helps me out a lot and i'll get into that again in a future video i'll link it up here one

00:05:46
once i do that on kind of how i use my notion exactly and give you kind of a tour of what that looks like um right now i'm just giving you kind of kind of some of the basics but yeah i basically create a master to-do list for my future log and then transition that over to my matrix plan when i do my matrix planning sessions and then i have a few daily habits that i track also in notion and then i hold what i call a weekly council meeting and i do this in the different areas of my life and there's a book called

00:06:19
living forward by michael hyatt and i they they call those life accounts i'm going to link that down below but this is what it looks like living forward by michael hyatt and daniel carvey i'm not sure how to say his last name um but it's a great book i i've actually been spending a lot of time with it recently in developing life accounts and i'll reference that down below um so you can go and pick that up if you're interested in it highly highly recommend that book um then i also use notion to track my

00:06:49
progress on my youtube videos you know when i'm doing the editing scripting um handing this off to a virtual assistant to do the editing for me and all those types of types of things i use notion for all of that i've even built a vision board for myself in notion and i'll use that to kind of look at on a daily basis i'm going to set my timer to just be with my vision board and so you can kind of see um just just from all of that you can do so much with notion make sure you like this

00:07:21
video and comment down below if you'd like to see my personal notions set up some of those different things that i referenced there my my habit tracker the way that i do youtube videos um the vision board that i've built um comment which of those you would like to have a video on and i will make one of those for you and kind of give you an overview of how you can create those types of tools in notion um specifically for you to help you out in creating something that's going to allow you to

00:07:46
manage your life and manage your business in my next video i'm going to get into how to set up a free account with notion it doesn't cost you anything you can get in there and you can set it up very easily i'll give you a brief tutorial of how you can do that and how you can start using notion to organize your life manage your business keep you on task and improve the way that you're you're doing things if you have always felt like there's just so much to do and i can't

00:08:12
i just can't process it i'm going to give you a good solution on how to do that in the next few videos on how you can use notion to really start organizing your life giving you a few very very basic tools that you can use in getting that set up and and running so i'm excited to get into that with you in the next video and just a reminder if you want to learn more about investing in assisted living make sure you visit me on assistedlivinginvesting.net i would love to see you over there you

00:08:39
